Instructions for Conveners

We would like to share a few practical guidelines for the sessions:

  • Please arrive well before the beginning of your session and make sure that everything is ready and working properly, including the presentation computer, projector, microphones, and other necessary equipment.
  • Please check the programme and the list of speakers beforehand, and make sure that the speakers are present before their scheduled talks.
  • Regular oral contributions have 15 minutes for the presentation + 5 minutes for questions, while plenary talks have 25 minutes + 5 minutes for questions.
  • Keeping the session on schedule is particularly important. Please give speakers clear indications when they are approaching the end of their presentation time and intervene when necessary. If a talk runs over time, the discussion period should be shortened accordingly.
  • Please be prepared to ask one or two questions yourself in case there are no immediate questions from the audience. Taking a quick look at the abstracts of the contributions beforehand may be helpful for this.
  • The PDF of each presentation should be uploaded to Indico by the day before the talk. Please check the contributions scheduled for your session in advance. If a presentation is still missing, please contact the speaker and ask them to upload it as soon as possible.
  • For remote presentations, please contact João Pinheiro and/or Eduardo Revoredo, who will assist with the connection and technical setup.
  • At the beginning of each contribution, please briefly introduce the speaker and the title of the presentation.
  • In case of a missing speaker, a last-minute programme issue, or a technical problem that could affect the timetable, please contact a member of the Local Organising Committee before making significant changes to the session schedule.
