1. Approval of earlier Minutes
The draft minutes of IUPAP WG14 , Meeting#16 ,[MoM#16] has been approved.
Action items were taken into account while preparing the agenda of Nov. 22 meeting.
2. Preparation of Creative Commons Licensed Materials by Suzie Sheehy (and Adam Steinberg)
The presentation highlights in accelerator engagement, focusing on health, sustainability, technology, and education. Key themes include accelerators roles in health, sustainability, technology, and international collaboration. Proposed initiatives involve creating accessible educational materials and piloting an Accelerator Engagement Ambassadors program to develop resources aligned with these themes. The project seeks to inspire diverse audiences and encourage careers in accelerator science while fostering global collaboration.
Future steps include resource development, feedback integration, and evaluating the pilot program for potential expansion.
The 10 kCHF (18 k Australian dollar) allocated to Melbourne University will fund administrative tasks and provide seed funding for Ambassadors selected via a global competitive process initiated in December 2024 by Suzie Sheehy [AI#1]. The Ambassadors will represent the various regions and accelerator types, fostering enthusiasm and sustainable impact.
The designation “IUPAP Accelerator Ambassador” aligns with established IUPAP practices and mirrors the broader use of “Ambassador” by organizations such as APS. This title appropriately reflects the role’s purpose and is unlikely to cause confusion within the IUPAP framework.
An alternative proposed by Christoph involves initiating a call for an engagement contest, with prizes awarded to the top five participants. Another possibility is to assign the selected Ambassadors the task of organizing and managing such a contest, further enhancing outreach and engagement efforts. Feedback and approval from WG14 members are anticipated.

3. Updates on additional IUPAP-WG14 activities
Michael Moyers, with his extensive expertise in has extensive in medical accelerators, advocates designing accelerator by starting with clinical requirements and working backward to engineering solutions. He has drafted the “Report on Recent Developments in Accelerators for Therapy and Radiobiological Studies.” Bob Bingham and the WG14 team are encourage to enrich the report with their own insights [AI#3].
Additionally, WG14 is collaborating with other IUPAP Commissions and Working Groups, such as WG21: Working Group Physics for Climate Change Action and Sustainable Development, AC5: Affiliated Commission of Physics Students – IUPAP and WG16: Physics and Industry, to create 2 short videos showcasing the impact of accelerators on medical applications and environmental sustainability [AI#4].
On a complementary note, and following a meeting on November 14th with Christine, Sekazi Mtingwa (U.S. spokesperson to the IUPAP governance), Jens Dilling (SNS Director), and Silvina Ponce Dawson (IUPAP President), the potential resolution for a “Neutron Research Facility WG” was introduced. This proposed working group aims to include fewer than 13 laboratory directors of major neutron research facilities to promote global collaboration in scattering science, foster new communities, and support research infrastructure development. Its structure aims at mirroring WG9 - International Cooperation in Nuclear Physics (ICNP) - Provide a description of the landscape of key issues in Nuclear Science research sequentially for the next 10 to 20 years.
A final decision on creating this WG will be made in January 2025.

Action Item 3 WG14 member to complete the “Report on Recent Developments in Accelerators for Therapy and Radiobiological Studies” by providing comments to Michael Moyers and/or updating the document shared in the MM_CERNBox or if not accessible in MM_Google drive
Action item 4 Review the Excel file Interfaces between WG14 and other IUPAP Commissions and Working Groups, accessible in IF_CERNBox or in IF_Google drive
4. Approval of the ToR and roadmap for WG14
Following an earlier meeting between Christine and Silvina Ponce Dawson, all IUPAP working groups are now required to submit their Terms of Reference (ToR) to the IUPAP organization by May 2025.
WG14 will utilize this additional time (extended from Dec. 2024 till May 2025) to enhance the content and refine the proposed activities of the group. This topic will be revisited during Meeting #18, scheduled on January 2025.
